Commercial HVAC maintenance costs: build a defensible annual budget
Build an annual commercial HVAC maintenance budget from equipment, service scope and exclusions instead of relying on a national average.
Turn your own per-unit annual quotes into a low and high planning allowance. Defaults are illustrative, not market rates.
Enter the number of comparable units and two annual per-unit figures from quotes with the same task list. The calculation is unit count × annual per-unit cost + annual shared costs. Shared costs might include an access allowance or a reporting charge; enter them only if they are not already included in the unit price.
For the illustrative default, six units × $600 + $500 = $4,100 at the low end. Six × $900 + $500 = $5,900 at the high end. These invented inputs demonstrate the arithmetic. They are not researched market rates. The scenarios are examples of input structure, not recommendations or promises of coverage.
Do not mix a per-visit quote with an annual quote. Convert visits to a yearly total first. Run separate calculations for dissimilar equipment and add the results outside this tool. Taxes, repairs, refrigerant, emergency work and replacements are excluded unless you put them into a quoted input. A range is not a probability interval. Keep both quotes and their exclusions with your budget.

Cost planning
Identify the scope, access, equipment and reporting differences that can explain a wide gap between two commercial HVAC service quotes.
Cost planning
Create an auditable filter and consumables schedule, compare included materials and avoid mixing inspection, replacement and repair allowances.
Cost planning
Read preventive maintenance coverage by task, asset and exclusion, including repairs, consumables, response terms and completion evidence.
Cost planning
Use EPA resources to separate technician certification, Section 608 and newer HFC requirements before assigning refrigerant work and records.
Cost planning
Separate known repairs, uncertain corrective work and capital replacement in a transparent HVAC budget using your own service history.
